4.1 Room Plan

a. Room Plan Colors and Statistics

  • The meanings of the colors in the room plan are shown in the table on the right side of the screen. The large boxes for each room indicate the room’s occupancy status, while the colored stripes on top represent the housekeeping status.

  • Each color button in the table also functions as a filter.

  • The search box above the table allows you to search by guest name.

  • At the bottom of the screen, you can see the active user, audit and current date information, as well as the exchange rates.

  • On the right side of the screen, there are also buttons such as Arrivals / Expected Arrivals, Departures / Expected Departures, and In-House. Related reservations can be viewed using these buttons.

The “Statistics” button is located at the bottom-right corner of the screen, and it provides a summary of the hotel’s current status.

b. How to Change a Room? In Sistem Otel, room changes can be done by using drag-and-drop on the Room Plan or Blockage screen. Alternatively, inside the room folio, the “Transfer” menu can be used, selecting “Room Transfer.”

c. How to Change the Room Service Status? There are two ways to change the room service status in Sistem Otel:

  1. In the Room Plan screen, right-click on the room and select “Add Work Order.”

  2. From Technical Service under the Room Maintenance menu. In both methods, the Work Order Screen must be filled out to complete the process.

Important Warning: O.O.O – Out of Order marks the room as out of service, removes it from sale, and excludes it from the quota.

  • Here is the translation in the same style and tone:

    The date field on the right side indicates when the operation will start and end. Unless manually updated, the operation automatically closes on the specified end date. If an earlier closure is required, the work order should be opened, the “Completed” checkbox selected, and then saved.

d. How to Change the Room Cleaning Status? On the Room Plan screen, the cleaning status of a room can be set to Clean, Dirty, or DND (Do Not Disturb). The cleaning status is shown on the thin strip located above each room number. To change the status, select the room, right-click, and choose “Change Room Status” from the menu.

e.How to Add a Message to a Room? In the system, special messages can be added either for a room or for the guest staying in that room directly from the Room Plan screen. While on the Room Plan, select the room, right-click, and choose “Add Message” to enter the note.

The required fields in the pop-up window are filled in and then saved.

The added message appears on the room plan screen with an “@” symbol. When you hover the mouse cursor over it, the details are displayed.

***For guests with multiple stays, the system displays a warning on the check-in screen and then automatically records the guest’s total number of stays as a room message.
