2.2 Rate Definitions

a.How to Create a Rate for a Company?

To enter a rate agreement for a company in Sistem Hotel, use the Price Search option under the Sales menu, or click the Sales button located on the main screen.

When the company is selected on the screen that opens, the rate information previously registered for that company appears on the right side. These rates can be selected and edited if needed.

A new rate agreement can be entered by clicking the New Rate button.

*If Single Rate is checked, pricing can only be entered per person; if not checked, pricing can be entered per room type and per person. ** A promotion can be recorded from the upper-right section if desired. *** If Meal Included is unchecked, meal options can be priced differently based on the board type. **** In the Payment Details section, additional charges can be added as included in or excluded from the rate. ***** If the Approved Rate option is unchecked and saved, the rate becomes inactive.

b. How to Set General Pricing? (Rack Rates)

To enter a common rate agreement that can be used for all companies, individual reservations, or the Walk-in screen in Sistem Hotel, go to the Sales menu, click Rates, and select Rack Rates. In the menu that opens, choose New Rate and then enter the required information on the rate definition screen.

c. Company History To view a company’s past sales and the folios related to those sales, select the company from the Sales menu and then choose Company History from the Company Details menu.

On the screen that opens, sales made within the selected date range can be viewed as follows:

  • Folio details under the Folios tab,

  • Details of invoices issued to the company under the Invoices tab,

  • Details of sales made to the company under the Sales tab.

All of these can be viewed and printed if desired.
